Room Rentals

We have several rooms available to rent for meetings, parties, special events or casual use.

In order to rent space at Kitsilano Community Centre please be advised of the following regarding reservation eligibility; We cannot host events that:

  • Require admission fees or for profit ventures managed by the facilitator of the event.
  • Represent religious or political organizations
  • Advertised to the general public
  • Attended by the media

Room rentals for programs, seminars, lectures, workshops, etc., are not permitted; please submit a program proposal

Let us know your requirements. If suitable facilities are available, you will be asked to fill in a rental contract and pay a refundable deposit to reserve the space. All rentals are subject to the approval of the Kitsilano Community Centre Association.

PHO order on gatherings and events

Indoor organized seated gatherings can have a capacity of 50 people or 50% capacity, whichever is greater. For example, if a room has a normal seated capacity of 40 people, 40 people can attend. On the other hand, If a venue has a normal seated capacity of 100 people, 50 people can attend.

Rental Information

Rooms at the community centre may be rented based on availability during designated hours and are subject to a minimum booking time of 60 minutes.  Center programming has priority over room availability. Community Centre programs run seasonally, as such, you may book 2 or 3 months in advance depending on when the season falls.

If you require special equipment such as audio visual, please connect with the Rental Coordinator directly to make advance arrangements or for further information.  A damage deposit may be required at the discretion of the Rental Coordinator

All rooms are reserved on an “as is basis” and must be left in the condition found.

Rental staff retain the right to shut the event down at any time should any rental patrons not comply with the centre’s rental policies.

Facility Information
  • All rooms are reserved on an “as is basis” and must be left in the condition found.
  • Centre staff retain the right to shut the event down at any time should any rental patrons not comply with the Centre’s rental policies.
  • Admissions or ticket sales cannot be collected for events hosted within the Centre.
  • The name “Kitsilano Community Centre” or its phone number cannot be used on any promotional material without prior and specific permission from the Kitsilano Community Centre Association. Only the address of the centre may be displayed for private invitations.
  • No overnight or pre-event storage is available outside of reservation times. You may reserve additional meeting spaces if available at an additional charge; loss or damage is the responsibility of the renter.
  • Tacking, nailing or drilling is not permitted on any surface within the Centre. Non-residue adhesive or removable hooks are permitted for decorations. Confetti or open flame candles are not permitted. Inflatable playgrounds or castles sourced from external vendors are not permitted (ask about our list of permitted vendors).
  • Smoking is not permitted anywhere within the Community Centre and 15 metres of any entrance or air intake.
  • If applicable, the insurance policyholder must be present for the duration of the entire reservation time.
Set Up and Clean Up

All reservation times on the rental agreement are inclusive to set up and clean up; All groups are responsible for their own set up, take down and basic cleanup of the rented space.

Your reservation rates are inclusive to the use of the room and available tables and chairs. Contact the Rental Coordinator should you require additional equipment or special requests.

Centre Staff do not assist with any rental supplies, equipment or other items brought in by the rental group. 

Rental Supervisors are employed at the discretion of the Rental Coordinator for special events, bookings in our larger venues and reservations outside of the Centre’s operating hours.  A minimum call out of 2 hours is required.  Rental Supervisors may be employed to oversee the event to ensure compliance of the rental policies, to ensure building is secure and provide emergency assistance if required.

Payment

Full payment for the rental is due at the time of booking in advance of the reservation date.

Cancellations

Cancellation requests must be received in writing (email) and require a minimum of 2 weeks’ notice to receive a refund of fees paid.  Cancellation requests received less than 2 weeks prior to your reservation date will not be eligible to receive a refund.

All refunds are subject to review and approval by the Community Centre Supervisor.

Certificate of Insurance – Liability Information

Depending on the risk level assessed for your event, a certificate of insurance may be required depicting a minimum of $2 million liability with the City of Vancouver, Vancouver Park Board and Kitsilano Community Centre Association named as additional insurers. Higher risk events include sporting or special events, adult parties, tradeshows and reservations outside of the Centre’s operating hours.

In most cases, we do not require insurance for small private meetings where no high risk activities are involved.  Any reservations where a Certificate of Insurance is requested must provide a copy of the insurance documents at least 2 weeks in advance of their reservation date.

You may wish to use your own broker or you can use one of the companies listed below that regularly issue insurance for events at our facility:

Equipment

You may bring in your own audio and visual equipment for your event or meeting. We do have a limited supply of audio visual equipment and access to our sound systems within certain rooms. 

Please connect with the Rental Coordinator to confirm the room’s amenities will accommodate your reservation in advance.

All meeting rooms are equipped with sufficient tables and chairs for each room capacity.
